Condition Report: Documenting the Physical State of Artworks

A museum loans a 19th-century oil painting to a traveling exhibition. When it returns six months later, the courier notices a hairline crack near the lower left corner. Was that crack there before the loan? Without a condition report completed before departure, there is no way to establish whether the damage occurred in transit, during installation, or was pre-existing. The lending institution absorbs the cost of conservation because it cannot prove the borrower is responsible. This scenario plays out regularly in the art world, and it is entirely preventable. A condition report creates a documented baseline that protects lenders, borrowers, sellers, buyers, and insurers from disputes about when and how damage occurred.

A condition report is a documented assessment of an artwork's physical state at a specific point in time. It records the condition of the support, the ground, the paint layers, the varnish, the frame, and any previous restorations. It is accompanied by photographic documentation, including raking light, ultraviolet, and sometimes infrared images. Condition reports are used by museums, galleries, auction houses, private collectors, conservators, and insurance companies to track the physical history of an artwork and to establish accountability when damage occurs.

What a Condition Report Contains

The report begins with identifying information: artist name, title, date of creation, medium, dimensions (height x width x depth, both with and without frame), accession or inventory number, owner name, and current location. This section should match the institution's inventory records exactly.

The overall condition is typically rated on a four-tier scale: Excellent (no visible damage, no restoration needed), Good (minor issues that do not affect display, stable condition), Fair (visible damage or deterioration requiring monitoring or treatment), and Poor (significant damage, active deterioration, immediate conservation needed). Some organizations use a numerical 1-5 scale or the American Alliance of Museums standard terminology. Whichever scale is adopted, consistency across the collection is essential.

The detailed condition description is where specificity matters most. The report documents any cracks, noting the pattern: drying cracks, impact cracks, or age cracks. It records paint flaking or loss, discoloration or yellowing, foxing (brown spots on paper works), abrasions or scratches, accretions (dust, insect residue, adhesive residue), bloom (a hazy white film on varnished surfaces), and any areas of inpainting or retouching from previous restorations.

For paintings, the report documents canvas tension (taut, slack, distorted), stretcher bar condition, keying, and any tears or punctures. For works on panel, it notes warping, splitting, insect damage, and cradle condition. For works on paper, it records tears, creases, cockling, mat burn, adhesive stains, and tape residue. For sculpture, it documents stability, joins, surface patina, and corrosion.

Frames are often overlooked but carry real value. Period frames can be worth thousands independently of the artwork. The report notes gilding losses, structural damage, loose joints, missing ornaments, and whether the frame is original to the artwork or a later addition.

Previous restorations are recorded: lining of canvases, inpainting, varnish layers (original versus applied), replaced stretcher bars, repaired tears, and cleaned areas. Ultraviolet examination often reveals restoration work invisible under normal lighting.

Photographic Documentation

Words alone are not sufficient. Every condition report needs supporting photographs that record exactly what the artwork looked like at the time of inspection. Standard practice requires photographs taken under multiple lighting conditions. Normal raking light reveals surface texture and topographical irregularities. Ultraviolet light reveals retouching, inpainting, and areas of restoration, because different materials fluoresce differently under UV. Infrared imaging can reveal underdrawings and compositional changes beneath the paint surface. Photomicrographs, extreme close-up photographs, document specific areas of damage or interest in detail.

A 2026 dataset published by the Heritage Science Data Service illustrates the depth of documentation that modern condition assessment can achieve. The dataset covers the conservation of The Girl at the Shutter (also known as A Girl at the Window) by Gottfried Schalcken, carried out by Amgueddfa Cymru, the National Museum Wales, between 2015 and 2025. The dataset includes textual documentation, high-resolution images, ultraviolet imaging, and photomicrographs, all documenting the painting's condition before and after conservation treatment. When Condition Reports Are Required

Condition reports are not just for museums. Private collectors, galleries, auction houses, and conservators all rely on them. The most common situations requiring a condition report include:

Loans, both incoming and outgoing. The lender and borrower each complete independent reports before and after the loan period. This establishes a baseline that determines responsibility for any changes during the loan.

Acquisitions. Documenting the state of a work at the moment of ownership transfer creates an insurance baseline and a record for future comparison.

Insurance claims. Pre-loss condition reports dramatically speed up claims processing and settlement negotiations. Without a pre-loss report, the insurer may dispute whether damage existed before the claim event.

Storage changes. Moving artwork between locations, even within the same building, creates opportunities for accidental damage. A condition report before and after the move establishes accountability.

Post-conservation. After any treatment, a condition report records the results and establishes the new baseline for future monitoring.

Condition Reports and the Clowes Collection

The Clowes Collection at the Indianapolis Museum of Art (IMA) provides a detailed case study of how condition reporting works across decades. The collection's technical reports document a series of condition assessments and treatments carried out over more than 50 years.

For the painting Portrait of Andrea de' Franceschi, documentation records that the painting was in conservator William Suhr's studio from January to June 1955 and treated again in 1960. A letter on file describes "a weakness in the bond between the support, the ground, and the paint film, which causes the flaking which has plagued us twice before." A 1964 treatment proposal described relining, cleaning, and revarnishing. A condition report by Paul Spheeris in October 1971, carried out before the paintings were relocated from the Clowes residence to the IMA, described the painting as "O.K." but noted a chip to the frame. A second assessment upon arrival at the IMA described the work as in good condition. In 1974, the Intermuseum Conservation Association at Oberlin College conducted a condition assessment that described "a heavy natural resin varnish which has discolored" and "grime in interstices." This sequence of reports, spanning five decades, shows how condition documentation accumulates over time. Each report builds on the previous one, creating a physical biography of the painting that allows conservators to track changes, evaluate the effectiveness of past treatments, and make informed decisions about future care.

Scient Advances in Condition Assessment

In March 2026, a multidisciplinary team from the European Centre of Archaeometry at the University of Liege, the Royal Museums of Fine Arts of Belgium, CNRS-Sorbonne University, and Ca' Foscari University of Venice published a study on the conservation condition of Salvador Dali's The Temptation of St Anthony (1946). The painting, held by the Royal Museums of Fine Arts of Belgium since 1965, had shown visual changes in certain areas for decades: irregular transparency, loss of binding medium, and a rough, micro-cracked surface, particularly in the figure of St Anthony, his rock, architectural elements, and details of the elephant procession.

The researchers compared a 1947 photograph, a current photograph, and a UV image of the painting. The comparison revealed a notable increase in transparency in certain areas, and the alterations were already visible before 1965, indicating early degradation probably initiated during the polymerization and hardening of the paint films. Under UV light, the altered areas displayed a characteristic bluish-white luminescence, consistent with binder alteration in the presence of zinc white. MA-XRF maps showed a spatial correlation between visibly altered zones and the presence of zinc white, with some nuances: the alterations mainly affected zinc white-rich layers applied over lead white layers, whereas passages containing zinc white directly on the ground did not show degradation. This kind of research demonstrates how modern condition assessment goes beyond visual inspection. Technical analysis tools, including macro X-ray fluorescence scanning, pyrolysis-gas chromatography-mass spectrometry, and UV-induced visible fluorescence, allow conservators to identify the specific materials and mechanisms responsible for deterioration. This information is critical for developing appropriate conservation strategies and for documenting condition in ways that future researchers can build on.

Condition reports are closely tied to provenance, which tracks the ownership history of an artwork. Together, condition and provenance documentation create a comprehensive record of an artwork's physical and legal history. The certificate of authenticity establishes a work's identity, while the condition report tracks its physical state over time.
